title: Agreements
description: Issue paper for signature, log paper signed on the other side's contract, and manage the templates the studio's own paper is raised from.

## The register

[/admin/contracts](/admin/contracts?tab=agreements) is admin only. After **Proposals** come **Agreements** and **Templates**. **Agreements** lists every agreement newest first, with a **Paper** column: **Ours** is the studio's own paper raised against a person, **Theirs** is paper signed outside the portal on the counterparty's own contract. The All, Ours and Theirs tabs above the grid narrow it to one side. **Templates** is the wording the studio's own paper is raised from.

## Issue an agreement

The grid lists Paper, Reference, Document, Counterparty, Project, Status, Signed, Expires, Day rate, Window and File. A cell that does not apply to a row's paper is left empty. **Open** on one of ours opens the record in a side panel.

Press **New agreement** on the toolbar or the foot row. The dialog asks:

1. **Document**: Terms of business, Contractor agreement, Non-disclosure agreement or Release form.
2. **Recipient**: contractors only for the contractor agreement, anyone for the rest.
3. **Signing for**: their company, or As an individual. Asked only when the wording names a company.
4. **Their address**: asked only when the wording needs one, prefilled from the company.

Press **Create draft**. The reference is the person's code and their next number, such as `AGR-AMRS-0001`. The wording is copied from the live version of that document, with the names, address and date frozen in. If nothing is live, the dialog refuses and points at the Templates tab.

While it is a draft, the Terms textarea in the panel is editable and saves when you leave it. Right-click a row for Open contractor, Duplicate as draft (the wording, day rate and currency, not the dates) and Delete draft.

## Send it for signature

In the panel, under **Send it**, press **Send for signature**. The wording is frozen and hashed, and a signing link that lasts 30 days is minted.

> **Warning** The link is shown once and cannot be shown again. Press **Copy link**, then **I have copied it**.

The statuses are Draft, Sent, Signed, Declined and Superseded. Every status past Draft wears a padlock: nothing on the row can change.

## Sign it

The contractor opens `/agreement/<token>` with no account. The page carries the studio's letterhead, the document's title, the Day rate, Starts and Ends where set, and the wording exactly as typed. Under **Sign this agreement** they give their full name and email and press **I agree, sign it**. That is the signature: a named person, a reachable address, the date and a fingerprint of the exact document, with the IP address and browser recorded. Afterwards the page reads Signed, and the link is their copy.

A contractor signed in to the portal finds the agreement under **Your agreements** on their home page, at `/agreements/[id]`. While it is theirs and still open, the page leads with Waiting for your signature and the same form sits at the foot. A signed contractor agreement confirms the provisional bookings it covers.

## Read the record

The panel shows the Terms, then **Signing**: Sent on a date and waiting, or Signed by whom and when with **Download the PDF**. Below that, **History** lists Created, Sent, Signing link fetched, Opened by the recipient, Signed by us, Signed by the contractor, Completed and Last edited, headed by the Document ID. The PDF is minted on first download, from the PDF button in the File column or the panel. It prints the letterhead, the parties, the terms, the signatures and the audit trail as its last page. The contractor's copy is filed against their record.

## Log received paper

Documents signed on the other side's contract are their paper. Press **Log received** on the toolbar or the foot row and fill in:

- Project, then the File: a PDF or image of the signed copy, up to 25MB.
- Kind: Non-disclosure agreement, Agreement, Release form or Other.
- Title, Counterparty (the project's company or No company) and Counterparty person.
- Signed by, Signed on, Expires on and Notes.

Their paper shows its Kind under Document, its title as the Reference and its file under File. Its Status reads Signed once it has a signing date, or Expired once the expiry has passed. An expiry within 30 days shows the days left in amber, or Today. Press the title to download it; right-click for Preview, Download, Edit and Delete document. The same register sits on a project's Documents tab under **Signed documents**, and a client sees the list there with a Download for each.

## Manage the templates

The Templates tab lists one row per contractual document, headed by the version in force; the caret in the Type cell shows earlier versions. The columns are Type, What it is, Version, Status, Effective from, On proposals and Created. Switch between Table and Cards beside the search box.

The templates are Terms of business, Contractor agreement, Non-disclosure agreement and Release form. The studio's Data protection, Data retention, Individual rights and Data incident policies are versioned the same way under **Policies** in Settings. The privacy notice, terms of use and sub-processors belong to the platform.

Press **New version**, choose the Document and an Effective from date, and paste the Wording. The version is named from the document and the date, such as `TRM-BUS-2026-08`.

A version is Draft, Live, Superseded or Issued. Only a draft is editable: open it, change the text and press **Save terms**. To make it current, press **Publish to** the document and confirm. Publishing replaces what is live and freezes the version for good; there is no unpublish. Delete is offered on a draft only. Right-click a row for Open version, Copy link, and See it live on a public notice.
